        The type of personal information we collect 
  • The personal information we process is supplied to us by you, as an Applicant to Rame Community Fund, requesting help via an Application Form. Information may be supplied online or on paper.
  • This may include Name, Address, Phone Number, Email Address.
  • Occasionally you may supply financial details relating to income to support your application.

How we get the personal information and why we have it

The personal information given by an Applicant on an       application for help, is used so that Rame Community Fund can contact you, the Applicant.

We may also use this information so that goods or services, paid for by the Charity, can be delivered directly to you, the Applicant.

We are also given personal contact information from third persons acting as Support Referees to an Applicant. These contact details are in the public domain and relate to the Support Referee’s professional contact details.

An Applicant choosing to use a Support Referee knows that the applicant’s details may also be verified by Rame Community       Fund in communication with the Support Referee.

Application forms which include an Applicant’s personal             information may be discussed by the Trustees of Rame       Community Fund to determine if the application can be approved or rejected. An Applicant’s details are totally confidential and   restricted to the board of Trustees only. 

 

 

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:
  1. Your consent. We only collect the information which you have consented to provide to us, in order to ask for help. You are able to remove your consent at any time. You can do this by contacting Info@ramecommunityfund.org.uk 
  2.  We have a vital interest. Without your personal information we cannot contact you to offer help from Rame Community Fund.
  3.  We need it to perform a public task. If Rame Community Fund can help you, we need to be able to direct the providers of the goods or services which you require, to you as an individual.

How we store your personal information 

Hard copies of your Application Form are stored securely and can be accessed only by the Administrator, unless being discussed by the Trustees, after which they are returned to secure storage. 

Online copies of your Application Form and copies of any letters or receipts relating to your application are stored on a dedicated external hard drive which can be removed and stored securely by the Administrator.

We will keep your Application Form for (10 years) after which it will be shredded if a hard copy, or deleted completely, along with any other documents relating to your application, if online.

 

 

Your data protection rights

Under data protection law, you have rights including:

Your right of access: You have the right to ask us for copies of your personal information and the return of your Application Form 

Your right to rectification: You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure: You have the right to ask us to erase your personal information along with your Application Form. The personal information we process is supplied to us by you, as an Applicant to Rame Community Fund, requesting help via an Application Form. Information may be supplied online or on paper.

Your right to restriction of processing: You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing: You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability: You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
